A Day in the Life of the AfterZone
2:00 p.m.
AfterZone staff and volunteers arrive at site for team check-in with the AfterZone site coordinator; review communication from the school administration, organize snacks, generate attendance sheets from YouthServices.Net, place table tents and snack crates for each of the programs, post the daily schedule and set up the “AfterZone Info Booth.”
2:35 p.m.
Youth are dismissed from classes for the day.
2:40 p.m.
Youth report to their program table in the school cafeterias. The school cafeteria is the central staging location for distributing snacks, taking attendance, making announcements and youth check-in.
Program providers, Youth Engagement Specialists, City Year corps members and college volunteers meet youth at their designated table. One student at each table brings the attendance sheet to the staff in charge of the snack. The student then delivers snacks consisting of juice, fruit and a grain to the group.
2:55 p.m.
For off-site programs, Youth Engagement Specialists escort youth to buses and vans that shuttle youth to these community locations. Shuttle drivers receive an attendance sheet with the list of students present, which the driver delivers to staff at the program location; for large numbers of youth, a bus monitor travels with the youth.
3:00 p.m.
On-site AfterZone programs begin:
- Instructors lead students enrolled in school-based enrichment programs for the 3:00-4:00 p.m. session to their assigned space.
- Students who have a 4:00-5:00 p.m. enrichment program are enrolled in Club AfterZone during this earlier session and remain in the cafeteria to meet with Youth Engagement Specialists and City Year corps members to decide which offering they will participate in that day.
4:00 p.m.
Program transition time for one-hour programs on-site:
- Students in the 3:00 p.m. Club AfterZone session meet with their enrichment program provider and go to the assigned space.
- Students in the 3:00 p.m. enrichment transition to Club AfterZone.
Note that some endorsed AfterZone providers have been approved to offer “full-service programs” on the school site from 3:00-5:00 p.m., which include enrichment coupled with some of the key elements from Club AfterZone – academic support, literacy activities, physical movement and small-group discussion.
5:00 p.m.
Youth from off-site programs return to the school location via shuttle; school-based programs conclude and youth return to the cafeteria.
Youth are seated based upon the transportation that families have approved for their students to return home:
- Walkers
- Parent pick-up
- Late bus
Lists are generated for all present students from attendance data entered into a web-based data management system, which separates these youth into the designated groups.
Staff sit with youth at their designated tables and then assist with dismissal: leading walkers out a designated door; waiting with youth until parents or family members arrive and sign them out; escorting youth to late buses provided by the school district, providing drivers with the generated transportation sheets and companion routing sheets. As necessary, some part-time staff ride buses home with students, serving as bus monitors.
5:15 p.m.
Youth are dismissed, buses leave and staff convenes for a 15-30 minute debrief and planning session.
